There are many ways to share your Document with people who do not have a Displayr license. Instead of sharing exported Office or PDF files of your Document, which become out of date quickly and can be forwarded to others at will, you can also publish your document to the web as a Dashboard to share it with others. This allows you to:
- Add interactivity to the report via Controls (inputs), filters, views, and Explore Mode.
- Make the report more secure, if needed, by configuring access to the document or items within the document via logins, see How to Manage User Groups and Permissions in Displayr.
- Ensure viewers are looking at the "current" version of the Report so they don't have to keep track of multiple versions of the same report with various fixes/edits and versions of the data.
This article describes how to go from a Displayr Document created in Edit Mode...
...to a Displayr document presented as a Web Page (Dashboard).
Requirements
- A Document with at least one Page and output to export.
- Sufficient Server time for private dashboards and API to access the dashboard.
Method
- Go to Share > Publish to Web.
- Choose one of the two available levels of Access for the published document.
These options are:
- Anyone with the link - Anyone who has the link to the Dashboard can access it. No login required.
- Login and password required - Shared with specific people. Only users with appropriate login details can access the Dashboard (see: How to Manage User Groups and Permissions in Displayr).
- OPTIONAL: If you wish to hide the Navigation pane, expand the Advanced Options menu and select Hide Navigation pane. Note this does not hide pages from being accessible like the Hide feature on items in Edit Mode. You can still access all unhidden pages, but will need to include navigational links manually in the report design, see How to Insert a Link Into a Displayr Document.
- OPTIONAL: Select Searchable from other company documents that can be viewed without a password to allow for this document to be found when performing searches in other Dashboards exported using the Anyone with the link access option.
- OPTIONAL: Sometimes when doing analysis across different scenarios, you will run across interesting findings that you'd like to highlight. Now, instead of listing out all of the specifics for the scenario for the viewer to replicate, you can save this interesting snapshot as a View that viewers of the dashboard can select to see the analysis filtered by that view. You can do this by selecting Viewers can add, change, delete, and apply views (see: How to Add, Change, Delete, and Apply Views in View Mode).
- OPTIONAL: If using Anyone with the link, use the Advanced Options to select Viewers can Explore without password if you wish to enable Explore Mode for anonymous viewers. Explore Mode is enabled by default when publishing using Login and password required and unavailable if using Publish on the web. See How to Use Explore Mode for more information on the mode.
- Select Publish (or Republish to update the already published Dashboard).
- Note, if you wish to no longer have your dashboard published, you can at any time press the Unpublish button.
