How to Refine and Edit Text Themes After Classification

If you've used the text categorization tool and created your initial classifications, it might be necessary to edit and refine your results and themes.

Requirements

You will need a categorized variable set that was created using the text categorization tool. See How to Classify Text Data for instructions. These variables will have "categorized" in their name.

Method - Create subthemes

Option 1 - Split themes into subthemes

1. Select the categorized variable in Data Sources.
2. From the object inspector, go to Data > Properties > Edit Categorization.
3. Right-click an existing theme and select Add Subtheme.
4. Give the subtheme a name and click OK.
5. OPTIONAL: Right-click any other subthemes that are part of the group and rename.
6. From the Show responses from dropdown, select the original theme (this will be the one that currently contains responses from the original theme).
7. If Only one theme was selected when creating the categorized variable, select a text response to reassign, and then click the new subtheme to move it there. If Multiple themes was selected when creating the categorized variable, click Move to or Add to as needed (see .gif below).
8. Repeat Steps 3-7 as needed.
9. Click Save when you are done making changes.

Option 2 - Create a new theme and move existing themes into into it as subthemes

1. Select the categorized variable in Data Sources.
2. From the object inspector, go to Data > Properties > Edit Categorization.
3. Right-click anywhere in the Themes pane and select Add Theme.
4. Enter a name for the new theme and click OK.
5. Select an existing theme that you want to move into the theme created in Step 4.
6. Drag and drop the theme into your "parent" theme to create a subtheme.
7. Repeat Steps 5-6 for any additional subthemes.
8. Click Save when you are done making changes.

Method - Modify text responses assigned to themes

These options allow you to refine and tidy responses included in a theme.

Option 1 - Move responses between themes

1. Select the categorized variable in Data Sources.
2. From the object inspector, go to Data > Properties > Edit Categorization.
3. Update the Show responses from dropdown to the theme from which you want to refine responses.
4. Select the response(s) that you would like to move to a different theme.
5. Click the theme you want to move the response to.
   1. If you selected Only one theme when creating the categorized variable, the selected response will automatically be moved to the newly selected theme.
   2. If you are working with a categorized variable that was created using Multiple themes, deselect the original theme it was assigned to.
   3. Click Move to.
6. Repeat Steps 3-5 as needed.
7. Once you have moved the desired responses, click on Save.

Option 2- Add responses to additional themes

Note that this option is only available if you selected Multiple themes when creating the categorized variable.

1. Select the categorized variable in Data Sources.
2. From the object inspector, go to Data > Properties > Edit Categorization.
3. Update Show responses from to a specific theme, or set it to (all responses).
4. Select a text response that you want to add to another theme.
5. Select the theme on the left that you want to add the response to.
6. Click Add to.
7. Repeat Steps 3-6 as needed.
8. Once you are finished, click Save.

Option 3 - Remove responses from themes

While going through your quality checks on the classified data, you might find some responses don't fit well into a selected theme. This option is only available if you selected Multiple themes when creating your categorized variable. If you selected Only one theme, then follow the steps in the Move responses between themes section above.

To remove a response from a theme:

1. Select the categorized variable in Data Sources.
2. From the object inspector, go to Data > Properties > Edit Categorization.
3. Select a classified response (it will have a colored number to the left of the text).
4. If multiple themes are selected, deselect any themes that you want the response to remain in, leaving only the theme you want to remove from the selected.
5. Click Remove from.
6. OPTIONAL: Update the Show responses from dropdown to "Unclassified" to review any responses that are no longer assigned to a theme.
7. OPTIONAL: Classify the unclassified responses to the appropriate theme by clicking Classify as or clicking Classify at the top for AI to do the classification for you. Just make sure it doesn't go back into the theme you just removed it from!
8. Repeat Steps 3-7 as needed.
9. Click Save when you are finished.
